Privacy policy

This policy explains what personal information Speak Calendar collects, how it is used and shared, how long it is kept, and the choices and rights you have. Speak Calendar, including the web app at app.speakcalendar.com, this website and any mobile app, is provided by California National Trading Inc., Menlo Park, California ("we", "us" or "our"), which is responsible for your information. If you have questions, write to privacy@speakcalendar.com.

This policy is also our notice at collection under California law: it lists the information we collect, why, and how long we keep it.

2. Where your information is kept

On your device. Speak Calendar runs in your web browser. The events you create, your tasks, lists, notes, sticky notes, contacts, routines, tracker entries (including drinks and sleep), saved assistant chats and settings are saved in your browser's own storage on your device. We cannot see this information unless you use a feature described below that sends it to us.

Device sync. If you link devices under Settings, then Sync, your events, lists, notes, sticky notes, contacts, tracker entries, saved assistant chats and similar items are sent to our storage provider so your other devices can download them. They are stored under a link code rather than your name. Anyone with your link code can see them, so keep it private.

Your account. If you sign in with Google, we store a small account record on our storage provider (see section 3).

Backup. If you turn on automatic backup or download a backup, Speak Calendar saves a copy to a folder you choose on your own device. That copy stays under your control; we don't receive it.

We collect this information from you, from your device, and, when you connect them, from Google, Withings and Stripe. We do not buy personal information, and we do not use advertising trackers or sell analytics data.

4. How we use it

We use personal information only to:

We don't use your calendar, lists, notes, tracker entries or AI requests to build advertising profiles, and we don't use them to train AI models. We don't make decisions about you based solely on automated processing that have legal or similarly significant effects.

5. AI features

When you use an AI feature, what you submit (for example, your question and recent chat turns, a photo, a recording, or text to translate or read aloud) is sent from our servers to the AI provider that runs it: Anthropic for Ask Claude, photo and page reading and translation, and OpenAI for iPhone speech-to-text and the lifelike read-aloud voice. The assistant may also search the web to answer, in which case your question may be used to form a search. The providers process this information to return a result to us, under their own terms for business customers, and may keep it for a limited time for purposes such as safety and abuse monitoring, as described in their policies. Please don't include sensitive information you don't want processed this way.

We rely on these companies. Each receives only what is needed for the feature you use, and handles it under its own privacy terms.

Some of these requests go straight from your browser to the company (for example, weather and map lookups), so that company receives your IP address and the request.

7. Google user data

If you sign in with Google, we receive your name, email address and Google account ID, which we use only for your Speak Calendar account.

If you connect Google Calendar, Speak Calendar reads and changes the calendar events you choose to sync, so changes appear in both places. This happens between your browser and Google. To keep you connected, an encrypted permission from Google is stored in a cookie on your own device; we don't store your Google events on our servers. We don't use Google data for advertising, we don't sell it, we don't use it to train AI models, and we don't let people read it except with your permission, for security, to comply with law, or where it is combined and made anonymous for internal operations.

Speak Calendar's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

You can disconnect at any time in Speak Calendar's settings, or from your Google Account under Security, then Third-party apps and services.

8. Health information

Some features can hold information about your health, such as the drinks tracker, the habit and routine tracker, and sleep from Withings. This information may be "consumer health data" under laws such as Washington's My Health My Data Act and Nevada law.

Speak Calendar is not a medical service. See section 9 of our terms of use.

9. Location

Speak Calendar uses your device's location only when you allow it in your browser, and only for weather and traffic alerts. For weather, your location goes from your browser to the weather and place-name services in section 6. For traffic alerts, your starting location (or your home address) and upcoming event places are sent to our servers and Google to estimate drive times. We use precise location only to provide these features, not to profile you. You can turn location off at any time in your browser or device settings, or type a place instead.

We share personal information only:

We do not sell personal information, and we do not share it for cross-context behavioral (targeted) advertising. We have not done so in the past 12 months.

We may keep information longer where the law requires it, to resolve disputes, or to enforce our agreements.

12. Security

We use reasonable administrative, technical and physical safeguards suited to the information we hold. Connections use encryption (HTTPS), sign-in cookies are signed or encrypted, synced items are stored in private storage, and keys for outside services are kept on our servers, never in the app. No system is perfectly secure, and we can't guarantee the security of information. Please keep your devices locked and your link code private. If a security breach affects your personal information, we will notify you and the authorities as the law requires.

13. Your choices and rights

Wherever you live, you may ask us to tell you what personal information we hold about you, to give you a copy, to correct it, or to delete it, including your account and synced items. Email privacy@speakcalendar.com from the email address on your account, and include your link code if your request is about synced items. We will confirm the request is yours before acting, and will answer within the time the law requires (and in any case within 45 days, which we may extend once by 45 days if needed, with notice). Please cancel Pro before asking us to delete your account; a subscription bought through an app store must be cancelled there. We may keep information we must keep by law, as described in section 11.

14. California privacy rights

If you live in California, the California Consumer Privacy Act, as amended (CCPA), gives you these rights: to know what personal information we collect, use, disclose, and the sources and purposes; to access a copy; to have it deleted; to have inaccurate information corrected; to opt out of its sale or sharing; to limit the use of sensitive personal information; and not to be discriminated against for using these rights.

We use sensitive personal information only to provide the features you request, to keep the service secure, and for other purposes the CCPA permits, not to infer characteristics about you. We don't sell or share personal information, including of anyone under 16. We keep each category for the periods in section 11.

How to make a request. Email privacy@speakcalendar.com. We will verify your request by matching it to information we hold, such as your account email or link code. You may use an authorized agent, who must show us your signed permission; we may also ask you to confirm your identity with us directly. We won't charge you, deny you service, or give you a different price or quality of service for using these rights.

Shine the Light. We don't share personal information with other companies for their own direct marketing.

15. Other US states

Depending on where you live (for example, Colorado, Connecticut, Delaware, Indiana, Iowa, Kentucky, Maryland, Minnesota, Montana, Nebraska, New Hampshire, New Jersey, Oregon, Rhode Island, Tennessee, Texas, Utah or Virginia), you may have rights to confirm whether we process your personal information, to access, correct, delete and receive a portable copy of it, and to opt out of targeted advertising, sale and certain profiling. We don't sell personal information, use it for targeted advertising, or use it for profiling that produces legal or similarly significant effects. We process sensitive information only with your consent, which you give by choosing the feature, and you can withdraw it as described in sections 8, 9 and 13.

To use these rights, email privacy@speakcalendar.com. If we decline your request, you may appeal by replying to our answer with "Appeal" in the subject line. We will respond to your appeal within the time the law requires. If you are not satisfied, you may contact your state's attorney general.

16. Do Not Track and Global Privacy Control

We don't track you across other websites or allow other companies to do so through Speak Calendar for advertising. Because of this, our handling doesn't change in response to a browser's Do Not Track signal. If your browser sends a Global Privacy Control signal, we treat it as a request to opt out of the sale or sharing of your personal information, although we already don't sell or share it.

17. People outside the United States

Speak Calendar is intended for people in the United States, and your information is processed and stored in the United States. If you use it from the European Economic Area, the United Kingdom, Switzerland or elsewhere, your information will be transferred to the United States, where privacy laws may differ from yours. Where your local law requires, we rely on appropriate safeguards for such transfers, such as standard contractual clauses used by our providers.

If the EU or UK General Data Protection Regulation applies, California National Trading Inc. is the controller, and we rely on these legal bases: to perform our contract with you (providing the features you choose and Pro); our legitimate interests (keeping the service secure, preventing abuse and improving it, balanced against your rights); your consent (for location, health information and optional connections, which you may withdraw at any time); and legal obligations (such as tax records). You have the right to access, correct, delete, restrict or object to our use of your information, to data portability, and to withdraw consent, and you may complain to your local data protection authority. Contact privacy@speakcalendar.com to use these rights.

18. Children

Speak Calendar is not meant for children under 13, and we don't knowingly collect personal information from them. If we learn that we have collected personal information from a child under 13, we will delete it. If you believe a child has given us information, contact privacy@speakcalendar.com. Teens aged 13 to 17 may use Speak Calendar only with a parent's or guardian's permission, as described in our terms of use.

19. Emails from us

We send emails only about your account, billing, security, your requests and important changes, which are part of the service. We don't currently send marketing emails. If we start, we will include an easy way to unsubscribe in every one.

20. Changes

We may update this policy from time to time. We will change the date at the top, and if a change is significant, we will tell you in the app, by email or on this website before it takes effect. If a change would let us use personal information we already hold in a significantly different way, we will ask for your consent where the law requires.
